Who we are

Rutland Driveways & Landscaping Ltd (“we”, “us”) is the data controller for the information described here. Registered in England & Wales, company number 17360422. Registered office: 5 Knights Close, Corby, NN18 0TB. Contact: info@rutlanddriveways.co.uk, 01572 344119.

Information we collect

From public planning registers. When a council approves a planning application near us for work we carry out, we record the site address, the council reference, the description of the approved works and the decision date. This comes from the council’s public planning register, which councils are required to publish. We do not collect email addresses or phone numbers from these records, and we do not email or phone anyone because of a planning approval.

Names for those letters. So the letter can be addressed to you rather than to “The Homeowner”, we use the applicant name shown on the council’s public planning register for that application. Where the register does not show a usable name, we may look up the names of the people living at the address in the open register (the edited version of the electoral register, which councils make available for this kind of use) through a licensed data provider. We use the name only to address that one letter, and we do not look up any other details about you.

When you contact us. If you send an enquiry through our website, email or phone us, we keep your name, contact details, property address and details of your project.

When we work for you. If you become a customer we keep what we need to quote, carry out and guarantee the work, including drawings, photos, correspondence and payment records.

How we use it and why

Sending one letter about our services to the address of an approved project. Our lawful basis is legitimate interests: posting one letter to homeowners who are about to build, telling them about a local company that can carry out that work. We send one letter only, by post, and never write again unless you get in touch.

Answering enquiries, visiting and quoting. Lawful basis: taking steps at your request before entering into a contract.

Carrying out and guaranteeing work. Lawful basis: performing our contract with you, and our legal obligations such as tax and Building Regulations records.

You have an absolute right to object to direct marketing. If you object, we stop.

Who we share it with

We do not sell or rent personal information. We use a small number of service providers who handle it on our behalf and under contract: our database host (servers in the UK), our printing and posting provider, our name and address data provider, our website enquiry form provider (Web3Forms), and our email and accounting providers. We share information with Building Control, engineers and suppliers only where needed to carry out your project.

How long we keep it

Planning-approval records are deleted 12 months after the decision date if you have not contacted us. We keep a short record of the address and reference so we never write to the same property twice, and keep it permanently if you have asked us not to contact you. Enquiries that do not go ahead are deleted after 2 years. Customer and job records are kept for 6 years after the job ends for tax purposes, or for the length of any guarantee if longer.

Your rights

You can ask to see the information we hold about you, have it corrected or deleted, restrict how we use it, or object to us using it. Email info@rutlanddriveways.co.uk and we will respond within one month. If you are unhappy with how we handle your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
